Personnel Whiteboard
Like the Equipment Whiteboard, the Personnel Whiteboard is an active and visual work management tool. Divided into four (4) segments, the purpose of the Personnel Whiteboard is to provide a real-time view by person, by Outside Service Provider and by time of Planned or Released Orders. The top segment of the Whiteboard is where filters to control the information used to populate the second, third and fourth segments of the Whiteboard are found. The filters are divided into three (3) groups.
Personnel Whiteboard
The first and left most grouping of filters is entitled Work Orders. These filters allow the user to control the Work Orders to be shown. By clicking the appropriate check box, TAG dynamically changes the content of the Personnel Whiteboard. The default setting for this filter group is for Released Orders only.
The next filters are found under the Locations grouping. These filters are used to find Personnel to be shown in the Name column. These filters allow you to expand or narrow your Name list by a Region or Facility or both. The Region and Facility filters available are the Region and Facility codes established on the Personnel Card.
TAG does not require Region or Facility to be defined in a Personnel Card. Therefore, there is a final set of filters under the Include Personnel Without grouping. By ticking or un-ticking the check for Region and/or Facility, you are further qualifying which Personnel are shown in the Name column on the Whiteboard. The default for each check box is unchecked.
Personnel Card
The first segment on the Personnel Whiteboard starts with the Name column. Right of the Name column is the No. Orders column. The numeric value found in this column represents the number of Work orders meeting the filter criteria shown on the Whiteboard for the person. Next to this column are the PO Time and RO Time columns. The values found in these columns show, respectively, the total Estimated Time for all Planned Orders and total Estimated Time for all Released Orders shown on the Whiteboard. Next is the Total Time column. The values found in this column are the total Estimated Time for both Planned and Released Orders. The No. Orders, PO Time and RO Time fields provide drill down capability so you can explore the details of the value contained in the fields.
No. Orders Drilldown
Where the No. Orders drilldown provides a list of all Orders, the PO (Planned Order) Time and RO (Released Order) Time drilldown shows the line detail from each Work Order.
Released Orders Time Drilldown
The second segment of the Personnel Whiteboard provides a matrix; rows of Personnel and/or Outside Service Providers intersecting columns of calendar dates.
Personnel Whiteboard Matrix Section
Using the scroll bar at the bottom of this section, you can scroll forward or back through the calendar days. Using the elevator bar on the right side of this section, you can move up or down through your Name list. At the intersection of the Name row and the day column, Cells are formed.
A Cell contains the number of Work Orders (WO) and the total Time assigned to the Person or Outside Service Provider for a specific day. The sum of all Work Orders for a day by assignment to a Person or Outside Service Provider is shown as the value to the right of the "WO =" identifier. The sum of all Estimated Time from the Steps included on all Work Orders assigned to the Person or Vendor on the day represents the value shown to the right of the "Time =" identifier.
The first calendar date shown on the Personnel Whiteboard is a calculated date. When the Whiteboard is started, it first finds the oldest Requested Service Date among all Released Work Orders. To that Date, the number found in the Work Schedule Period Start is added forming the first date used by the Personnel Whiteboard. While the Personnel Whiteboard is running, you may not change the Requested Service Date on any Released Work Order to a date before the date calculated by the starting date calculated when the Whiteboard started.
In the third segment of the Personnel Whiteboard, information is displayed relating to the Work Order(s) assigned to the filtered Personnel or Outside Service Provider for a specific day. As you click on the Whiteboard Cells, the information in this section changes to reflect the Order(s) represented by the Cell.
The fourth segment of the Personnel Whiteboard shows information about each item in the Order List. In addition, this segment has a button allowing the users to print a Work Order Status report directly from the Personnel Whiteboard.
While moving up or down the Orders List, information about an individual Work Order is displayed in this segment. For example, as you move through the Order List, Comments from the Order header are shown in this segment. If you choose, you may add a Comment to the Order from the List by clicking the Comment button. Once clicked, the Comment form is displayed for use.
Comment
The Personnel Whiteboard is designed to facilitate changing of the information on an Work Order and, as a result of the Work Order change, interactively changing the content displayed on the Whiteboard. This interactive operability makes the Whiteboard an active tool rather than a passive tool.
Opening a Work Order Form
The No. field found on the left side of the Order List on the Whiteboard contains the Order number. By clicking this field, the Work Order form is displayed. From this form, you may perform all of the operations described in the Work Orders section of this User Guide.
Changing specific Work Order header information found under the Scheduled tab, may affect the content of the Personnel Whiteboard. When the Technician, the Outside Service Provider or the Requested Service date is changed, the content shown on the Whiteboard will change.
Depending upon how the Personnel Whiteboard filters are set, you may change the content on the Whiteboard by changing the Region or Facility on a Work Order. Changing the Technician on the Step of a Work Order will not change the content on the Whiteboard. Work Orders shown on the Whiteboard are organized by the Technician in the Work Order header.
If you choose, you may change the Requested Service Date or the Technician on a Work Order from the Order List without opening the Work Order form. This is accomplished by clicking the respective field on a Work Order List item. If the Request Date is clicked, a Calendar will appear and you can select the new Requested Service Date. A selection list is provided for the Technicians and you can select the new Technician Code from the list. When you return to the schedule, click any cell and the Work Order will appear under the technician and/or date you have chosen.
Change Requested Service Date from the Order List
In addition to providing a visual presentation of the Work Orders, the Personnel Whiteboard performs an update operation each time it is started on the Requested Service Date of all existing Planned Orders. When started, the Personnel Whiteboard finds the oldest Requested Service Date among all Released Orders. Then, the Requested Service Date on each PO is examined. If the PO Requested Service Date is less than the oldest RO Requested Service Date, the Requested Service Date on the PO is changed to the oldest RO Requested Service Date. If there are no Released Orders existing when the Personnel Whiteboard is started, the above operation is not performed.
